A Look Back at 2017

Sarah Pacheco X2CRM

It’s hard to believe that another year has flown by! Although it feels like the start of 2017 was just yesterday, we’ve been able to accomplish so much. This past year, the entire X2CRM team has been hard at work developing new capabilities and continually expanding X2CRM for all of our valued customers.

Introduction of Location Check-In

At the start of 2017, we pushed the boundaries of what CRM software is capable of by introducing location services. Users can utilize advanced Google mapping to check-in at any location and post updates to the activity feed using their laptop or mobile device. X2CRM users can unlock an entirely new level of productivity by using location services within X2Workflow to receive updates whenever they are near a contact. This powerful tool is constantly making it easier than ever to meet face-to-face with your customers and build business relationships.

New Board Member and Santa Cruz Office

2017 was a very exciting year for X2CRM as a company. We moved into a new building in the heart of downtown Santa Cruz and joined a number of new technology startups that are thriving in the area. David Buchanan also joined the X2CRM team as our newest board member. As the founder of Aurum Software (a CRM company before “CRM” was even a thing), his insight and experience has been a great addition to the X2CRM.

Launch of X2CRM Enterprise Edition on AWS and GCC

X2CRM Enterprise Edition was released this past year with 6.9 and came with a number of major changes. We released our new Enterprise Edition, which is exactly what it sound like – X2CRM developed specifically for enterprise businesses. We decided to release this edition with multiple deployment options on both AWS and GCC so that you had the power to choose exactly how to run X2CRM.

There are many new features that we are very excited to release for our Enterprise customers over the course of 2018, so keep up with X2CRM news posted on our blog and Twitter!

X2HubService

One of our biggest features also came out in 2017 – X2HubService. This social media and cloud artificial intelligence gateway connects X2CRM with dozens of third-party apps, such as GSuite, DocuSign, Twitter, LinkedIn, Twillio, Zapier, and much more. Most of the applications we choose to integrate X2HubService with comes from requests made by users just like yourself. X2HubService is just one of the examples of how committed we are to developing CRM software that your business will actually use.

Of course, all of these new features were designed and developed to help users like you make your business go faster. We just want to thank all of our Enterprise customers and Open Source power users for another great year. We can’t wait to show you what we have planned for 2018.

Cheers!
The Entire X2CRM Team

Top 10 Signs You Need New CRM Software…and Why X2CRM Is It.

Sarah Pacheco X2CRM

The biggest obstacle for any business implementing a customer relationship management system is ensuring that their employees actually use the CRM sytem. If your company struggles to fully utilize your current CRM software, it’s probably time to consider upgrading. I recently came across an article from CIO magazine, “10 signs your CRM system needs an overhaul” by Bruce Harpham, who lists his top 10 signs that your current CRM software isn’t working. Harpham hits the nail on the head with his list – many of X2CRM’s own customers mentioned these same frustrations with their previous CRM software when I asked them why they switched.

When designing X2CRM, we wanted to create the best CRM and marketing automation application we could. Usability was our main priority – and it shows. X2CRM combats every single indicator that Harpham points out in his article, proving that X2CRM is the best choice CRM choice for your business.

1. “Your in-house CRM system is brittle — and sucking up resources”

In today’s ever-expanding market, there is most likely a company that offers the exact product or service you need for a fraction of the effort it would take for your business to develop it in-house. This is especially helpful for small businesses who do not have the resources to hire engineers to design all of their applications themselves.

By allowing specialized development teams create the software your business needs, you now have the freedom to spend that time and money on advancing internal operations and grow your business. With our veteran team of software engineers, architects, and CRM professionals, you can trust that X2CRM is being developed by the best and is always on the cutting edge. Let us focus on developing your CRM system so your teams can focus on expanding your business.

2. “New sales leadership has new CRM priorities”

As a growing business ourselves, we know that businesses never progress in a straight line. Throughout the evolution of your business, I’m sure you’ve had to change leadership, goals, or business strategies numerous times before finding the right mix. However, for many businesses, changes mean that the CRM software you’re using may become obsolete – especially if you’re using a customized CRM software for specific needs.

We designed X2CRM to be able to combat this. First, X2CRM is an all-in-one platform, meaning that it has all of the capabilities that your business may need, no matter what direction your current leadership decides to take. No matter if you want to focus on outbound marketing, improve your internal business funnel processes, automate daily tasks, or maximize interactions on your website, X2CRM can do it all. Additionally, X2CRM has an extensive customization studio that allows you to easily modify X2CRM’s fields, forms, and even modules to adjust to your new business priorities.

3. “That one CRM expert leaves”

Many other CRM applications are extremely difficult to fully understand. They require dedicated experts or entire teams in order to manage their complex systems. What happens if that specific CRM expert leaves? Your business is left scrambling to find an expensive replacement or struggling to quickly learn a complicated application.

X2CRM is different. It’s an extremely intuitive platform, meaning that anyone can become an X2CRM expert in a fraction of the time they would need to learn other applications. All of X2CRM’s features are designed so your business can begin using them from day 1. Even our customization studio uses a friendly drag-and-drop interface so anyone can easily customize X2CRM – no programming knowledge needed! If your business does come across any issues with X2CRM, we have a very active community of users and developers who frequently help each other out as well as a very dedicated in-house support team.

4. “Integrations are more manual than effective”

We know that your company likely uses multiple applications to manage different aspects of your business. However, making sure they’re all connected is often extremely tedious or even impossible. X2CRM is an all-in-one application, meaning that many of the features, such as marketing automation, you’re using third-party applications are already natively built into X2CRM. If you’re looking to easily integrate specific business applications with your CRM software, X2HubService can make that a painless process.

X2HubService is our cloud intelligence and social media gateway that lets you easily sync your X2CRM installation with numerous third-party applications, such as Google, Microsoft, Twitter, Dropbox, and many more. Additionally, our HTTP-based API can also help you seamlessly integrate X2CRM with your existing software and third-party frameworks. Easily create, modify, and delete records directly through API commands.

5. “Standard reports take several days to create”

Reporting is an extremely powerful tool for many businesses. It allows management to easily see the status of their company within a few pages or visual diagrams. X2CRM offers many reporting capabilities directly within the application.

X2CRM’s reporting and analytics capabilities enable you to monitor and react to marketing, sales and service performance, and ultimately make changes to improve performance. Easily create a variety of custom reports. The visual, easy-to-read charts allow users to easily examine data from different perspectives, and quickly spot trends, issues, and opportunities.

6. “CRM governance is missing or ineffective”

The best CRM software is one that you can easily integrate into your system. If you deal with sensitive information or your business operates in a hierarchy, then you’ll want administrators have complete control over their users’ level of record access, permissions to edit or update data, and group memberships.

We added another layer of functionality within X2CRM by enabling administrators to control user groups and roles. They can create new users and assign them to different group categories based on their position within your company. Administrators can control each user’s ability to view and edit records, specified right down to the individual field level. Each role has its own defined access to modules and sensitive record data to give you complete control over your CRM software.

7. “You want to take advantage of new data sources”

In today’s quickly expanding world, technology is constantly changing. As your clients are using new technologies and social media platforms, you need to ensure that your business to keep up. By taking advantage of your contact’s new data sources, your company can discover new leads that they would have otherwise missed.

X2CRM is always developing new connections with data sources to ensure that your employees have all the resources they need to further business relations and close deals faster. To make things as easy as possible, you can monitor and utilize all the data available through social media and cloud intelligence right in X2CRM. This means that X2CRM isn’t just a static application that stores data like many other CRM systems; instead, it is a proactive platform that leverages many outside data sources to help your business run smarter and faster.

8. “Customized add-ons stop working after an update”

To keep your application running as smoothly as possible, you need to make sure it is up to date. However, many CRM systems have very complex update procedures. If you link multiple business applications with your CRM system, such as a third-party marketing automation software, you run the risk of breaking that connection – which would set your business behind and possibly lose you qualified leads or contacts. Your business shouldn’t have to choose between running the latest software or running your business smoothly.

X2CRM has easy updates to make sure your business can always take advantage of the latest features X2CRM has to offer. Because X2CRM already offers many features within its all-in-one application, you do not have to worry about losing some third-party application capabilities while updating. Additionally, whenever you update X2CRM, you have the option to back up your entire database. That means that if you ever run into any issues while you update, you can easily restore your previous version so your business won’t suffer any downtime.

9. “Adoption and usage is low”

Of course, it doesn’t matter how good your CRM software is if your employees do not use it.

Administrators can monitor users to get a better understanding of how their employees are using X2CRM. By getting a better sense of how your business is using X2CRM, you can easily customize the platform to promote usage. Additionally, X2CRM has many design choices to encourage users to use the CRM software. Individual users can customize the look and feel of the application with anything from custom widgets to fully personalized colored themes or backgrounds. By having your employees feel like they can customize X2CRM to fit their needs and aesthetic, they’re much more likely to continue using the software.

10. “Data quality issues lead to competing definitions of the customer”

One of the biggest problems a business can face is isolation between their departments. If they have conflicting ideas on how to best support the customer, the a business as a whole can often struggle moving forward. More often than not, these differences come from what customer data they look at. A sales representative who learns about a customer from their interactions with a new product campaign will have a very different opinion than a customer support member who only interacts with customers struggling with the current product or service.

Because X2CRM is an all-in-one CRM application, it is a platform that you can use across your entire business. By having all of your employees reference the same database, you can ensure that your company uses the same client information and can operate as a single unit.

All of Harpham’s indicators are extremely well thought out and accurate. Of course, it’s important for your CRM software to cover all of your technical needs, but sometimes your business needs something with a bit more edge. The team at X2CRM view CRM, not as a science, but an art – and that’s why we decided to add a 11th sign that your business needs a new CRM system.

11. Your Current CRM Software Doesn’t Offer You an Experience

CRM software is one of the few applications your business uses on a daily basis. Shouldn’t you actually enjoy using it? Imagine that most current CRM applications are giant SUVs; they’re large, bulky, and require tremendous amounts of resources yet offer little efficiency. While you’re waiting in traffic with the other SUVs, all desperately trying to reach your destination (to find new leads), you see a sleek motorcycle zip through traffic and speed past your car. This is X2CRM. We make your business go faster by offering all the features your business needs to run every aspect of your business, within a single, edgy platform. Stop sitting in your chair and thinking “Man, I wish I was that guy”. Take X2CRM for a test ride and experience it for yourself!

All-In-One… or All-for-None?

Sarah Pacheco X2CRM

When I was growing up, I didn’t had cable TV at home. Instead of spending my Saturday mornings watching cartoons, I watched informercials. As boring as it sounds, I was enchanted by these all-in-one gadgets that promised to do everything.

A countertop cooker that can toast bread, boil pasta, and roast chicken in a single appliance? Sign me up!

A hairstyling tool that can curl, straighten, or dry my hair with titanium plated rotating parts? Sold!

If most “As Seen on TV” products sounds too good to be true – they probably are. My mom and I purchased a few of these products after being blown away by their over-the-top commercials. However, we were always disappointed with how poorly they worked. Our countertop cooker was too complex and bulky, so we stashed it in the garage. My hair tool neither curled nor straightened well and I threw it out once it started to burn my hair.

The problem with all of these products is that they tried (and failed) to be an “all-in-one” solution. They think that just adding barely functioning features or fancy gimmicks is enough to compensate for a mediocre product. By trying to do so many different things, they ended up not doing a single thing well.

The Problem with Most CRM Systems Today

Many CRM systems in the market today share the same problem as my infomercial products – they’re bulky, overly complex, and expensive. In an effort to stay relevant in a changing market, these companies bolt-on barely functioning features for an additional cost.  What most users are left with are disjointed CRM systems that barely function.

What’s even worse is that some CRM systems completely ignore key features, such as marketing automation. This means that your business will need to use a completely different application to fully utilize your CRM system. Trying to integrate different business applications is a nightmare because each company uses a different programming language, database, and cloud. The more applications you try to link, the more points of failure your business faces.

Ultimately, some CRM systems can actually slow down your business because they take too long to master, require your employees to constantly switch between different applications and functions, or are simply incomplete.

X2CRM is Different

X2CRM is built entirely on a simple principle: Make your business run faster. Unlike other CRM providers, X2CRM is a compact application that’s built entirely on unified code base and includes sales, marketing, and customer service modules. Because every feature within X2CRM is natively built within our application, every action is aware of other events within the system, making X2CRM and extremely flexible and streamlined system.

X2CRM doesn’t have features that are haphazardly bolted-on. We know that when we put time and careful consideration into our design and development, we can provide your business with the best all-in-one CRM system today and into the future.

But don’t just take our word for it. Give X2CRM a try and see exactly how our compact, all-in-one application can help your business today!

This check-in post will instantly update the company’s activity feed and user record, increasing communication among your entire business. Location services also save time by allowing users to easily view the location other employees. For example, managers can instantly view where a field representative is, without calling or emailing them.

X2CRM’s check-in feature can also unlock location-based opportunities. Whenever a contact opens an email, views your website, or accepts a calendar invitation, their location is updated on their contact page. Location-based notifications and actions can easily be created within X2Workflow, enabling sales representatives to initiate new face-to-face customer meetings within a moment’s notice.

Small changes, like white text on dark backgrounds to reduce eye strain or specific widgets on the homepage, can actually improve efficiency within your business.

The 5 Benefits of Workflow Automation

Sarah Pacheco X2CRM

If I asked you to give me an example of automation, what would you say? Maybe you’re imagining a drab factory filled with machines doing repetitive tasks. Or maybe you’re imagining a customer support phone line that never lets you speak directly with a representative. No matter your answer, you most likely you weren’t thinking of automation within your own business. But why not? Workflow automation tools, such as X2Workflow, can unlock many benefits to improve your business.

1. Increased Opportunities

Did you know that 30-50% of sales go to the vendor that responds first? When similar products or services are offered at competitive prices, sometimes a prompt response is all it takes to close a deal. To stay competitive, your business needs to constantly pursue leads as soon as they come in. Workflow automation instantly responds to new prospects and begins nurturing leads, even before any of your marketing or sales representatives become involved.

With X2Workflow, you can incorporate nearly every feature within X2CRM in a workflow. This means that you can easily transform your business into a 24/7 operation without any additional costs or employees. X2Workflow enables your business to instantly begin the lead management process to increase your opportunities for growth.

2. Operate a Streamlined Process

It’s hard to check open-ended processes like handling a new lead or following up with an updated record. With workflow automation, you can take all the guesswork out of how to handle certain triggers within your business operations. For example, all new web leads can be emailed the same welcome email – free of any typos or incorrect information. By creating automatic workflows, you can be sure that any step in the flow is always professional and company-approved.

In addition to quality assurance, creating an automated workflow helps your employees think of their tasks objectively. When I younger, I learned the importance of detailed instructions and coding through a peanut butter and jelly sandwich game. Instructing someone to “put peanut butter on bread” is less effective than “spread two spoonfuls of peanut butter on a single slice of bread”. By designing workflows, employees are forced to think about the specific steps they take to accomplish a task. Like PB&J sandwiches, there is a big difference between “send a contact an email” and “send a contact a satisfaction survey 3 days after a campaign email has been opened”. By clearly defining each step a user takes to accomplish a task, they can evaluate and improve their procedure. A streamlined process increases efficiency and results for your business as a whole.

3. Offer a Better Customer Experience

How many times has this happened to you? You sign up for an email list, expecting the company would send you meaningful updates or personalized deals; instead, you’re bombarded with generic emails for products or services you have zero interest in. Instead of gaining more insight into the company or discovering a new product, you’re flooded by a spam machine. What’s the first thing a lead typically does after receiving 15 coupon codes in 20 minutes? Unsubscribe.

A workflow automation engine ensures that leads or contacts are only being sent quality, relevant emails. Within X2Workflow, you can create custom constraints with email campaigns, such as conditions or wait times, to automate any process from user notifications to email submission. With such specific parameters, you can ensure that your automated workflows are only sending out the most relevant information after specific triggers – not overwhelming contacts with a flood of generic emails.

X2Workflow can help your business do anything from automating personalized emails sent to new leads to re-engaging with existing customers. This improves the outreach experience both leads and your clients have with your business. Happier and engaged customers are much more likely to stay committed to your business than contacts overwhelmed with spam.

4. Better Allocation of Employee Time

Employees admit that up to 55% of their workday is wasted on administrative tasks, such as sending emails, filling out forms, and updating spreadsheets. That’s nearly an entire day every week wasted on busy work instead of working on the assignments they really want to finish. By automating repetitive and manual tasks, your employees have the opportunity to spend their time on creative problem solving to further their own skills and company’s operations. Workflow automation will handle all of the repetitive work and alert employees to step in when the process requires more personal interaction.

The goal of workflow automation isn’t to replace employees; instead, it should enhance your their work. By automating the boring tasks, your teams can have a more productive or interesting workday, which improves your entire business’s operations.

5. Instant Communication

There are many ways workflow automation can increase transparency across your company. Within X2Workflow, you can integrate alerts within your workflow to inform specific users or your entire business. Notifications, SMS messages, emails, and assigned actions are just a few of the ways you can ensure that specific users are aware of what your workflows are accomplishing. By creating notifications within your workflows, your team will know to jump in whenever they need human-specific interactions. Your business can still create personal relationships without having to worry about the tedious administrative tasks.

X2Workflow also has the ability to post company-wide notifications on the activity feed. This means that you can program your workflow automation to announce any specific task it’s accomplished. Your entire workforce can automatically know the status of any workflow, even if they are not directly following its process.

Real-World Benefits

These benefits have a huge impact on business operations – even our own! Our sales engineer, Tom Caroll, has been helping X2CRM customers utilize all the features within X2CRM and create complex workflows to automate their businesses. He recently helped a user create a workflow to schedule an appointment through a timed email campaign.

A time sensitive email campain workflow automation created with X2Workflow.

When a lead status is changed to accepted the flow starts a mini email campaign. X2Workflow will automatically send off a series of emails with waits after each one. This ensures that the lead is not bombarded with emails from the company (Benefit #3). After each wait, X2Workflow automatically checks to see if the lead status has been changed to working. If so, the flow ends and the owner of the record is notified. The notification is critical because it alerts the assigned user to take the next steps with their lead (Benefit #5).

This may not seem like this is a very complicated workflow, but it does accomplish a lot. First off, Tom’s workflow automatically starts once a lead is accepted. This ensures that no lead is overlooked and begins going through the appointment process immediately (Benefit #1). Additionally, this workflow automatically manages the timing of each email. Each user associated with each lead can focus on active marketing or lead nurturing instead of keeping track of each lead’s stage in an email campaign (Benefit #4).

Within a single workflow, this user will receive nearly every benefit listed in this post. Imagine how much your business can grow with dozens of these automation operating 24/7! A workflow that would have likely taken days to program can be easily created within X2Workflow. It has an intuitive drag-and-drop interface, so you can do anything from easily model drip marketing campaigns to leverage website activity or location check-ins to trigger alerts and actions for your team. This fluid system that uses current operations and social intelligence to personalize its marketing, sales, or internal processes.

Our workflow automation designer and engine is available in both our open source and enterprise editions of X2CRM.

CRM Helps Millennials Who Need Instant Gratification

Sarah Pacheco X2CRM

Last month, I stumbled on an article written by the Wall Street Journal called Millennials, as Seen by Corporate America. I literally laughed out loud (or LOL’d  https://i0.wp.com/s-media-cache-ak0.pinimg.com/originals/e4/ed/6f/e4ed6fbef210866bf9acf6708c7edede.png?resize=23%2C23&ssl=1 since hip millennials only talk in acronyms and emojis) at the conclusions senior marketers were making about consumers my age. This article was full of cutting-edge research, like how Hersey’s discovered that “millennials want new flavors and textures”. I speak on behalf of all when I say that millennials do enjoy flavors and textures with our food. It’s a relief to know that corporate America has finally figured out my generation.

I wanted to learn more about how millennials were portrayed in media and started reading through dozens of articles. I learned that we were accused of killing everything from the napkin industry to Home Depot. It’s really easy to laugh off these kinds of claims – they’re just sensationalist articles that make general conclusions based on vague market data.

There was only one article that stood out to me.

A Millennial’s Need for Instant Gratification

In the article, I Want it NOW! Millennials & Instant Gratification, Ashley Adams (a fellow millennial), writes about how our generation grew up accustomed to instant gratification. Can you really blame us though? Like most young adults, I grew up in a world with internet and social media. I started my career when the cloud and IoT were the industry standard. My entire life has always been available instantly. Even though instant gratification is often viewed as a bad trait, Adams argues that it is the exact opposite:

“This craving for instant gratification and feedback makes us quick to adopt, change, and grow in situations. This creates a workforce and think-team of innovators who are looking to grow and develop as quickly as they can so they can continue to grow and achieve their goals. As a result, the organization benefits because as they are learning and growing, the company is also flexing and learning.”

Our daily lives operate instantly, so millennials are creating a work environment that can keep up. Young employees are adopting creative or new techniques to solve problems. We are replacing the standard procedures that no one ever thought to modernize with technology and automation. Customer relationship management (CRM) is the perfect example of how technology and the need for instant gratification can drive positive change.

How CRM can Drive Instant Communication and Collaboration

When teams are dealing with everything from personalized marketing campaigns to service tickets, they often collaborate with other team members. It is extremely inefficient when progress needs to stop because teams cannot instantly take the next step. Maybe a sales representative has the notes from a client’s phone call is out sick. Or perhaps a service technician knows the specific process for troubleshooting a problem is on vacation. Other team members could continue work on these issues if they had a way of instantly accessing the information they need.

CRM aims to eliminate this lag and make sure that all relevant information is available instantly across your entire business. Tools, such as a documentation library, specific funnel and pipeline processes, or contact history, can ensure that everything you need is always recorded and accessible so your business can operate 24/7.

X2CRM is a next generation enterprise CRM platform. In addition to the many features it already offers, X2CRM has a number of unique capabilities, such as location-based opportunities. With this feature, users can do anything from instantly check in somewhere with their mobile phone to receive real-time client location notifications and find new opportunities to meet face-to-face with a contact. Location information helps all users instantly update their activity with the rest of their team to increase efficiency and find new possibilities for any business. This feature is perfect for millennials who are constantly on their smartphones anyway!

Location tracking in X2CRM helps users improve relationships on the go.

X2CRM is the perfect application to promote collaboration and communication. It even helps satisfy a millennial’s need for instant gratification by ensuring all information they’d need is immediately available.

Lead Management: Optimize Personal and Digital Relationships

Sarah Pacheco X2CRM

Leads are More Than Just a Phone Number or Email

One of the most frustrating thing about CRM providers is their website – all of their product information is hidden behind web lead forms.

Web lead forms are a great tool to capture leads and learn more about potential customers, but it seems ridiculous for other CRM providers to hide important content behind a wall. Imagine if all businesses operated like that:

You walk into a clothing store, hoping to find some formal wear for a coworker’s wedding. You ask the cashier for someone to help you find an outfit and she responds,

“Of course! I’ll just need your personal phone number and the name of your company. Once you provide that information, I’ll grab a sales personnel to help you!”

You’re not comfortable giving the cashier your information because you’re not even sure that you want to buy anything here. As you try to walk around the store and find something yourself, the cashier starts frantically waving her arms and blocking you from looking at the clothing racks.

“I’m sorry. To look at formal wear in that section, you’ll need to provide your email address.”

Frustrated, you leave. All you wanted was to explore your options and see what the store offered; all they wanted was your personal information. But you’re more than just an email or a phone number – you’re a person who deserves to be treated like one.

X2CRM is different because we’re committed to transparency. All of our documentation is open and available for anyone to review, not hidden deep within our site.

Use Software to Optimize, Not Replace

Unfortunately, too many businesses treat their digital and personal interactions as two, completely isolated points of communication. They don’t realize that online interactions require the same nurturing as any face-to-face sale. Companies need to build credibility and trust through their digital communication, just like any personal relationship.

Lead management is the best way to ensure that you provide the most qualified leads with the best sales experience and quickly create lifelong customers. Software that automates lead management, such as X2CRM, is not meant to replace any personal interaction; instead, it should be used to enhance and optimize a capable marketing and sales teams. As a complete enterprise CRM system, X2CRM has features to help you with every step of lead management:

1. Lead Generation

The first step in turning leads into customers is to actually capture the leads. The easiest way to generate interest in your product is to engage in some form of marketing or outreach. X2CRM offers a variety of lead generation tools, such as automated drip marketing campaigns, web lead forms, and a landing page creator, to help your business take the first step in a digital relationship with your lead.

2. Lead Qualification

Despite how important lead qualification is, nearly 80% of marketers pass leads without any qualifications or plans to sales representatives. This means that promising leads go cold as sales waste time with unqualified leads, losing opportunities and revenue for your business. To prevent this, X2CRM has multiple ways of recording lead qualifications. The Lead module allows users to record a lead’s personal information, qualifications, such as type, status, and score, and easily convert leads into contacts or opportunities with a single click. Businesses can also record lead qualifications directly within a contact’s page, bypassing the need to create a separate lead record altogether. No matter what your qualification strategy is, X2CRM can easily fit your business needs.

3. Lead Routing and Nurturing

The most important part of lead management is appropriate lead routing and nurturing. This is where your digital and personal relationship meet. Lead routing can significantly reduce response time and make sure all leads are handled by the most relevant sales member. Lead can enjoy a consistent and personalized experience as soon as they are recorded in your CRM system. With X2CRM, you can create customized lead routing rules where new leads will be assigned to representatives that best meet their needs, such as location or product. X2CRM gives you full control over task leads and routing, making it simple to establish unique and custom contact and assignment rules.

By creating a specific lead manegement process for your employees to follow, you can ensure that your business is pursuing all of the best leads with the same degree of care and quality. X2CRM has the tools you need to successfully nurture leads from capture to sale, as well as many other features to support your digital and personal relationships.

How I Learned About Cloud CRM from Traffic Jams

Sarah Pacheco X2CRM

Despite how tech-savvy my family believes I am (Mom, all I did was restart the WiFi router), I know that there is a lot I still need to learn. Because I am a very visual person, I try to simplify complicated ideas into imagery I can easily understand. Instead of thinking about complex network architecture, I imagine riding a motorcycle down a road. Since both data and vehicles travel in a “flow” along a designated path, this is the perfect example for understanding our new v6.9 deployment options.

X2CRM Virtual Private Server – Driving on the Freeway

I love to take road trips. Some of my fondest childhood memories take place in the back seat of my parent’s minivan, watching The Incredibles on a portable DVD player (which 10 year old me thought was the pinnacle of technology) and driving to some far-away place. Once I was old enough to drive the car myself, my attitude toward road trips quickly changed. I love driving but absolutely hate traffic. There is nothing worse than speeding down the freeway and seeing a wall of red brake lights in the distance. The freeway is usually the quickest and easiest way to get to any destination, but sometimes you get caught in the flow of all the other traffic.

Like a freeway, a virtual private server is a shared environment. Although you only get to access your own deployment (imagine this is your bike), it is on a shared server with multiple other deployments (the other cars on the road). This deployment is great for a business that simply wants to get from A to B and use our CRM right out-of-the-box. X2CRM’s virtual private server is the perfect option for smaller businesses that want a complete CRM system, but does not need or have the volume demands of a larger enterprise.

X2CRM Dedicated Private Server – Driving on the Track

Racing on a private track has been on my bucket list for as long as I could drive. There is something exhilarating about the idea of going as fast as I can on a completely empty road. I would be free to drive (or speed) without the fear of other vehicles, obstacles, or tickets. A private track gives you the opportunity to drive however you want; something you could never do on a shared freeway.

When your CRM runs on a dedicated private server, it’s similar to moving from a freeway to a track. The private environment allows your business to run a more customized or demanding application. You’re able to personalize X2CRM on a code level to ensure that it fits perfectly to your business needs (like how you can ride more freely when there are no cars around you). Having an independent server also means that you’re able to store thousands of additional records and support more users, which is perfect for any business that has larger internal operations or customer bases.

X2CRM On-Premise Download – A Repaved Road

Imagine your commute to work. You’ve driven the route a million times and know every turn, stoplight, and exit. As time’s gone on, the road you take to work has gotten really worn down. The potholes, cracks, and weather wear on the road make it almost impossible to drive on. Finally, the local government has decided to do something to improve the road conditions. They’ve decided to make new roads – not repave the existing roads, but build a competently new freeway system and force you to commute on this route instead.  Sounds ridiculous, right? The government already has the existing road infrastructure built – why not just improve the system they already have?

For any business that already uses a cloud service or company server, X2CRM is available for download. Similar to repaving a worn road, upgrading to X2CRM can improve your operations within your existing infrastructure. With our on-premise download, it’s now easier than ever to integrate X2CRM with your existing business.

With 3 new deployment options, X2CRM has a CRM system that can fit nearly any business and its needs. Check out our new products page for more information on any of our X2CRM services.

The Key to Successful First Dates and Landing Pages

Sarah Pacheco X2CRM

Do you believe in love at first sight….or first click?

First impressions are key. From job interviews to first dates to choosing a seat on the bus, our initial perception of one another often directly influences our following interactions (or lack thereof). Why not expand this understanding to first impressions online? Let’s imagine there are two different men on first dates: Mike and Will.

Mike knows that the best way to a woman’s heart is to appreciate her. He knows that his date is interested in Italian food and has booked a reservation for the best pasta in town. He wants to wow his date, so Mike has asked the chef for a customized menu of only her favorite foods. During their date, Mike asks all the right questions and listens to all her answers thoroughly. They laugh and they dine and his date knows that Mike went through all of this effort just to capture her.

Will is equally interested in his date, but cannot bother to put in additional effort to impress her. He’s already done enough to score the date, what more is there to do? Will meets his date in the first outfit he could throw together, greets her with a cheesy pick-up line, and then proceeds to take her on the most generic date possible. They don’t talk about anything relevant over dinner and she ends up excusing herself even before Will had a chance to start bragging about himself. It didn’t matter that Will and his date could have potentially been soulmates; he presented himself so poorly that his date wasn’t interested enough to bother finding out.

Out of these two men, who do you think got a second date?

When a potential customer opens a landing page link from your email campaign or views your website, they are doing more than just reading your content; they are interacting with your site. Just like Mike and Will learned, a potential customer may judge your entire product or service based on their first impressions of your website or landing page. Drawing in potential customers with an informative, attractive, and personalized landing page can be the difference in closing or losing a deal (or a second date).

With the launch of version 6.9, X2CRM now contains a Landing Page Designer. You can easily create a custom landing page with our intuitive drag-and-drop interface, even without any previous page creation or coding experience. With this design studio, you can easily incorporate documents, images, or web lead forms directly from your X2CRM library. Landing pages can easily be created using the column and row organization structure of the design studio, options to incorporate custom CSS code, and in-browser previews. Like X2CRM’s Web Lead Creator, landing pages created with X2CRM can easily be placed within your website with provided embed code. Consider embedding X2 tracking code to gain even more insight into customer interactions!

X2CRM V6.6 Open Source CRM, Opens New Office, New Board Member and Investment

John X2CRM

2017 has been a very busy year for X2CRM | X2Engine Inc. and I am excited to share a few of our most recent accomplishments. First off, it is with great pleasure to announce a new round of investment into X2Engine Inc, and our new company Chairman, David Buchanan. A long time ago, in 1995 actually, I was offered a job with a very new and exciting, first generation CRM software company located in Santa Clara, California called Aurum Software – a pioneer in Sales Force Automation software. After five days driving my pick-up across the country from Georgia I began my silicon valley career working for Dave Buchanan, founder of Aurum Software. Like X2CRM, Dave founded Aurum out of his garage and grew the company very quickly into hugely successful NASDAQ IPO in 1999. Aurum was one of the very first CRM software IPO’s and I had the great pleasure to learn from Dave in these early years of my CRM life.

With Dave’s oversight X2CRM is now even more energized with additional company funding, expanded engineering and services team and new engineering office in Santa Cruz, California. I welcome Dave to our board of directors and am excited to have him on our leadership team as Chairman.

In addition to our company growth, I am also pleased to announce the release of X2CRM version 6.6. It’s a fairly heavy new feature release with a lot of exciting functional enhancements. We are already working on version 6.9 now with a release date in about three weeks. Version 7.0 is scheduled for this fall which features several major enhancements to be previewed in the coming months.

New marketing reports include the location and time when marketing emails are opened. Lastly weblead form landing pages’ thank you text can now be customized in the weblead form designer.

X2Workflow Check-in Location Marketing Automation
X2Workflow is a CRM Automation Designer which allows CRM Admins to track website visitors, capture web leads and create automated actions based on customer behaviors.
